The payment inbox lists NeroPay card and cash records so you can turn each one into income.
It is a starting point, not a sales figure. You confirm the real gross sale and the VAT before anything is recorded. Go to NeroBooks → Accounts → Payment inbox.
What is in it
| In the inbox | Not in the inbox |
|---|---|
| selected successful NeroPay payment records | sales taken any other way |
| cash records raised in NeroPay | refunds |
| payments from your NeroPay history, without opting in | processing deductions and fees |
⚠️ Warning: This is not a list of every sale you made. Treat it as a prompt to record income, never as a total.
Turning a payment into a draft
Each payment is a row you open up. Inside is a short form.
| Field | What to enter |
|---|---|
| Verified gross sales amount | the full sale including VAT, from your own record of it |
| Verified VAT | the VAT on that sale |
| Description | what was sold |
| Confirmation tick | you have checked the sale, the VAT, and that it is not already in there |
Add draft makes a draft income entry. It counts towards nothing until you approve it in Bookkeeping.
Why the amount is not filled in for you
What NeroPay received is not automatically your gross sale. It can differ, so NeroBooks asks you rather than guessing.
- A deposit or part payment against a bigger sale
- A sale split across two payment methods
- A payment that includes something other than the sale
- Deductions taken before the money arrives
Not counting a sale twice
One sale can reach your books three ways: this inbox, a bank deposit in Bank feeds, and an invoice raised in NeroPay. Only one should become income.
| Situation | What to do |
|---|---|
| You invoiced and they paid by card | record the sale once; match the payment to it |
| A card payment lands in the bank days later | match the bank movement to the entry |
| A POS order and a payment for the same sale | record the sale once |
💡 Note: The habit worth building: record the sale from its source document, then treat every later appearance of the money as a match.
Refunds and deductions
Refunds and processing deductions need their own records and are not handled here. Enter them in Bookkeeping as separate records. If you are unsure which accounts to use, ask your bookkeeper.
Older payments
The inbox opens on the current month. If it looks empty, widen the dates before deciding there is nothing there.
Frequently asked questions
Why does an amount show a long string of decimals?
A known display issue on this screen. Enter the correct amount to two decimal places in the form — what you type is what is recorded.
Empty for this month. Is it broken?
Probably not. Widen the From and To dates.
Do I have to record every payment?
Record every one that is income not already in your books. Skip duplicates of sales you have recorded.
I got the gross or VAT wrong. What now?
Fix it while it is still a draft. Once approved, correct it with another entry rather than editing history.
Does this affect the customer?
No. It only affects your records. Nothing is sent and no money moves.
