Settings and access

Settings is where you describe the business, switch areas on and off, and decide who gets in. It is also where you give an outside bookkeeper a limited view of your books, and take it away again.

Business details

Setting What it does

⚠️ Warning: A locked period cannot be reopened from this screen. Only lock a period you are sure is finished.

Switching areas on and off

Six checkboxes decide which areas appear: People, Payroll records, Time entries, Leave requests, Fixed assets, and HMRC & tax. Switching one off hides the area.

Reminders and payslip branding

Setting What it does
Deadline reminders emails the owner about tax timeline dates, up to seven days before and shortly after
Payslip accent colour the colour used on payslips
Payslip footer note a line of your own text at the bottom of every payslip

Letting your staff in

Staff & permissions assigns bookkeeping, reports, payroll and document access separately, so someone can run reports without seeing payroll. Only the account owner can grant NeroBooks permissions.

💡 Note: Payroll and People hold personal information about your staff. Give that access only to people who need it, and review the list from time to time.

Giving a bookkeeper access

The Practice screen lets an outside bookkeeper or accountant see a limited view without signing in as you.

💡 Note: Ending access stops future access. Copies they already downloaded cannot be recalled, so grant access deliberately and review it now and then.

It works the other way too. If you act as a practice for others, Request client access takes their account number and a confirmation that you have checked it with them and have a good reason to ask.

Your subscription

The subscription card shows your monthly price, where your access comes from, and your billing status.

Seeing what changed

Activity & audit records approvals and access events with the date, the action, who did it and the detail. Documents and credentials are not in that log. Filter by date, currency or a search term.

What is and is not included

The Settings screen has a services table listing exactly what is available in your account. It is the most reliable answer to “can NeroBooks do this?” — more so than any help article, because it reflects your account. Filing in particular sits outside NeroBooks: self assessment, Corporation Tax filing, statutory accounts and Companies House filing are all handled elsewhere.

Terms and your data

  • NeroBooks is provided by Nero Panda Ltd, trading as NeroPay
  • You must be authorised to act for the business whose records you keep
  • Identity and ownership evidence may be needed for managed services
  • NeroAi output is a drafting aid, not a substitute for evidence or professional review
  • Cancelling stops renewal; it does not end any legal duty to keep records

⚠️ Warning: Never email passwords or Government Gateway credentials, and never type them into NeroBooks. No part of it needs them.

Frequently asked questions

Can my accountant approve entries?

No. A practice can prepare drafts and review reports, but approval stays with your authorised reviewer inside the business.

What does practice access actually share?

Whatever permissions you grant, and nothing more. It does not expose bank credentials or employee identity details, and it appoints nobody as your HMRC tax agent.

I locked the wrong period.

A locked period cannot be reopened from the Settings screen. Only set a lock date once you are sure the period is finished.

Do I lose my data if I stop paying?

No. Cancelling stops renewal. Your records are not deleted and approved CSV exports stay available.

Why can I not change a setting?

Several are owner-only, including the lock date, bank connections and granting access. Ask the account owner.
